How to Use the App

A quick guide to signing in, scanning attendance, working offline on site, and finding your way around Eastview Builders.

Getting started

Workers and field staff (engineers, foremen, leadmen, and similar roles):

  1. Open the Sign In page.
  2. Enter your employee number in the number field (for example, 001 after the company prefix such as EVB-).
  3. Tap your 4-digit PIN on the keypad. Your administrator sets the default worker PIN in Settings.
  4. After the fourth digit, sign-in runs automatically if your employee number is already entered. You can also tap Sign In manually.
  5. After signing in, you are taken to the main area for your role (usually Attendance or your own record).

Admin and secretary accounts:

  1. On the sign-in page, tap Admin sign in.
  2. Enter your email address and password.

Use the sidebar on desktop or the bottom menu on mobile to move between pages. Your session stays signed in for up to 30 days. Use Logout on a shared device when you are done.

What you can access by role

Different roles see different menus. This table shows the main areas each role can use.

Only Admin and Secretary accounts use email login. Field workers sign in with employee number and PIN only.

Recording attendance with QR scan

Field staff scan each worker’s employee ID QR code at the construction site.

  1. Go to Attendance and choose the active site.
  2. Tap Open Scanner.
  3. Tap Start Camera and allow camera access when prompted.
  4. Keep Attendance Mode selected (default).
  5. Point the camera at the QR code on the worker’s ID card until it is read.
  6. Confirm the worker details, then choose Time In, Time Out, or Spot Check (when timed in).
  7. After each action, a confirmation popup appears with Scan Next and Done.
  8. Tap Scan Next to record the next person, or Done to pause the camera.
  9. If you paused with Done, tap Scan Next on the camera overlay to resume scanning.

When a worker has both time in and time out for the day, the scanner also shows hours worked.

Tip: Use a well-lit area and hold the phone steady. Each ID QR code is unique to one employee.

Using the scanner offline

The attendance scanner can keep working when the site has weak or no internet. Other parts of the app (dashboard, reports, settings, and worker sign-in) still require a connection.

Before you go offline

  1. Sign in while you have internet.
  2. Open the scanner for your site and wait until the roster loads (assigned counts, activity feed, and work day badge appear — not “Loading…”).
  3. Leave the scanner page open or bookmark it with the correct ?site= link for that project.

While offline

  • A banner shows Offline — using cached roster.
  • You can still scan QR codes and record time in, time out, and spot checks.
  • Actions are saved on the device and queued until the internet returns.
  • Employee photos load if they were cached during the last online visit; initials avatars always work.

When back online

  • Queued actions sync automatically when Wi‑Fi or mobile data returns.
  • If anything is still waiting, a green banner shows how many actions are pending with a Sync Now button — tap it to upload manually.
  • After a successful sync, the roster refreshes from the server.
Tip: Open the scanner online at the start of each workday so the latest roster is cached. Offline data is stored per site and per day.

Spot checks

Spot checks verify that timed-in workers are still on site during the workday.

Single worker (from Attendance Mode)

  1. Scan a worker who is already timed in.
  2. Tap Spot Check on their scan result.

Group spot check session

  1. From the scanner, tap Start Spot Check.
  2. Scan each timed-in worker who is present on site.
  3. When finished, tap Save Spot Check to record the session.
  4. Tap Attendance Mode to return to normal time in/out scanning.

Workers who timed in but were not spot-checked may appear as Missing Spot Check on the site attendance summary.

More features

  • View Today’s Attendance — see who timed in, who is still on site, hours worked, and spot-check status for a site.
  • Sites & People — admins and office staff manage project sites, assign workers, and maintain employee records. Only secretaries (and admins) have login accounts in the Users area; field workers do not.
  • Reports — admins and secretaries can run attendance, site, and birthday reports.
  • Employee ID & QR card — open a person’s page to review daily attendance history and download their full ID card image (photo, name, role, QR code, and employee number).
  • User Profile — admins and secretaries can update name, email, and password. Field workers can update their display name only; employee number is shown read-only.
  • Settings — admins can set company details, logo, QR prefix, and the default worker PIN used at sign-in.

Need help?

  • Camera not working? Refresh the page, tap Start Camera again, and check browser permissions.
  • Wrong site or missing worker? Ask your admin to confirm the site assignment and employee status is Active.
  • Cannot sign in? Workers: check your employee number and PIN. Admins and secretaries: use the admin sign-in page with your email and password.
  • Scanner says unavailable offline? Connect briefly, open the scanner for your site, wait for data to load, then try again offline.
  • Pending sync not clearing? Go online, open the scanner, and tap Sync Now in the banner. Stay on the page until the toast confirms sync.
  • Session expired? Reload the page and sign in again. Offline actions recorded before expiry will sync once you are back online and tap Sync Now if needed.
